About this policy
GhostCoach (“we”, “us”, “our”) is committed to protecting your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what information we collect, why we collect it, and how we handle it.
What we collect
We collect the following types of information:
- Account information — your email address and any profile details you provide when signing up.
- Video content — squash match videos you upload for analysis. These are used solely to generate your coaching report and are automatically deleted seven days after your analysis is complete.
- Analysis outputs — metrics, coaching reports, and highlight clips produced from your videos. These are retained for the lifetime of your account so you can review your progress over time.
- Usage data — standard web server logs (IP address, browser type, pages visited) used to operate and improve the service.
- Waitlist information — if you join the waitlist, we collect your name, email address, and optional details you provide (club, referral source).
How we use your information
We use your information to:
- Provide, operate, and improve the GhostCoach service
- Generate player movement analysis and coaching reports from your videos
- Send you service notifications and, if you opt in, product updates
- Respond to support requests
- Comply with legal obligations
We do not sell your personal information to third parties. We do not use your videos or coaching data to train machine learning models without your explicit consent.
Disclosure to third parties
We share your information only with service providers that help us operate GhostCoach:
- Supabase — database and file storage (servers located in the United States). Supabase is bound by a data processing agreement.
- Vercel — web hosting (United States).
- Anthropic — AI coaching report generation. Video content is not sent to Anthropic; only anonymised metrics data is used as input.
Where we disclose your personal information to overseas recipients, we take reasonable steps to ensure those recipients handle it in a manner consistent with the APPs.
Data retention
- Raw video files are deleted seven days after your analysis completes.
- Coaching reports, metrics, and highlight clips are retained while your account is active.
- Account data is deleted within 30 days of account closure on request.
Security
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access. This includes encrypted storage, access controls, and secure HTTPS connections. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
Your rights
Under the APPs you have the right to:
- Request access to the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of your data (subject to legal retention obligations)
- Complain about a breach of the APPs

Complaints
If you believe we have breached the APPs, please contact us first at privacy@playghostcoach.com. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. We will notify registered users by email of any material changes. Continued use of the service after changes take effect constitutes acceptance of the updated policy.
